C.H. Robinson Worldwide, Inc., and its affiliated entities (collectively, "C.H. Robinson," “we,” “us,” and/or “our”) respect your privacy. Due to the nature of our business, we may take different approaches to our processing of personal information in connection with ADVANCE depending on your relationship with us and as described in our applicable privacy notices.

Our Notices are designed to be global in nature and explain what personal information we collect and how it is used and shared, if at all. Our Notices are applicable to past, present, and prospective customers, carriers, growers, and visitors as further described in each Notice.

Professional Conduct

ADVANCE is committed to providing a welcoming, respectful, and professional environment for all participants.

By attending ADVANCE, participants agree to:

• Treat fellow attendees, speakers, sponsors, partners, and event staff with professionalism and respect.
• Foster constructive dialogue and open exchange of ideas.
• Respect differing viewpoints and experiences.
• Follow venue policies and instructions provided by event staff.
• Conduct themselves in a manner consistent with C.H. Robinson's values by evolving constantly, delivering excellence, growing together, and embracing integrity.

Harassment, discrimination, intimidation, disruptive behavior, or conduct that detracts from the event experience will not be tolerated. C.H. Robinson may in its reasonable discretion remove any participant whose behavior it determines is inappropriate. When practicable under the circumstances, C.H. Robinson will notify the participant of the conduct at issue and provide an opportunity to respond before removal. A removed participant will forfeit all registration fees and be responsible for costs resulting from the removal.

Participants acknowledge that attending an in-person event involves ordinary risks, including travel, crowds, communicable illness, food or beverage consumption, and participation in event activities. Each participant voluntarily assumes those ordinary risks to the extent permitted by applicable law. Nothing in this Policy excludes responsibility that cannot lawfully be excluded.

Each participant is responsible for their own violation of this Policy or applicable law. To the extent permitted by law, a participant will indemnify C.H. Robinson against third-party claims, damages, and reasonable costs arising directly from the participant’s unlawful conduct, willful misconduct, or material violation of this Policy, except to the extent caused by C.H. Robinson’s negligence or willful misconduct.

To the maximum extent permitted by applicable law, C.H. Robinson will not be liable for indirect, incidental, special, consequential, or punitive damages arising from participation in or inability to attend ADVANCE. C.H. Robinson’s aggregate liability arising from the event will not exceed the registration fees paid by the affected participant. These limitations do not apply to liability resulting from fraud, willful misconduct, gross negligence, personal injury or death caused by negligence, or any liability that cannot lawfully be limited.

C.H. Robinson may update this Policy for legal, safety, operational, or event-related reasons. Material changes made after registration will be communicated using the contact information provided by the registrant and will apply prospectively, except where immediate application is reasonably necessary for safety or legal compliance.

Chatham House Rule

Unless otherwise indicated, ADVANCE discussions operate under the Chatham House Rule.

Participants are welcome to use information gained during the event but may not identify, quote, or attribute comments to specific speakers, companies, or attendees without their express permission.

This approach is intended to encourage candid discussion and the open exchange of ideas and uphold the exclusive nature of the event.

Participants must comply with applicable law, venue requirements, safety instructions, and reasonable directions from event staff. C.H. Robinson may deny entry or remove a participant for a material violation, subject to the notice, response, refund-forfeiture, and cost provisions stated in this Policy.

Registration, Cancellation & Transfers

ADVANCE is an invitation-only event.

• Attendees may transfer their registration to another employee from the same organization pending approval from C.H. Robinson. Email [email protected] to start the conversation.
• Registrants may cancel their participation and receive a full refund up to 21 days prior to the event. To cancel, email [email protected].
• Cancellations received fewer than 21 days before the event are non-refundable.
• After the cancellation deadline, registration transfers are not guaranteed and may be approved in C.H. Robinson’s sole discretion.
• Attendees who are unable to attend due to illness, medical emergency, family emergency, or other unforeseen circumstances occurring within the 21-day cancellation window may request a registration transfer to another employee from the same organization.
• C.H. Robinson reserves the right to manage attendance, transfers, and waitlists to ensure the best possible attendee experience.
• C.H. Robinson may modify, postpone, relocate, convert to a virtual format, or cancel ADVANCE when reasonably necessary because of circumstances beyond its control, including severe weather, natural disaster, public-health emergency, government action, labor disruption, transportation interruption, venue unavailability, civil disturbance, or similar events. If C.H. Robinson cancels the event without providing a substantially equivalent alternative, it will refund registration fees paid, but will not be responsible for travel, lodging, or other participant expenses, except where required by law.

Agenda & Programming

Event content, speakers, session times, venues, and activities may be modified as necessary. C.H. Robinson reserves the right to make program adjustments to enhance the attendee experience or address unforeseen circumstances.

Photography & Recording

Photography and audio or video recording may occur throughout ADVANCE. By registering for or attending the event, each participant grants C.H. Robinson and its authorized service providers a non-exclusive, worldwide, royalty-free right to photograph and record the participant’s image, likeness, voice, appearance, and statements made in public event areas or sessions, and to reproduce, edit, publish, display, distribute, and otherwise use those materials in event recaps, internal communications, websites, social media, and marketing or promotional materials relating to ADVANCE or future C.H. Robinson events. This permission is perpetual and applies in all media now known or later developed. No compensation will be payable for an authorized use.

A participant who does not wish to be photographed or recorded must notify the event team during registration or at onsite check-in and follow any instructions provided, such as wearing an identifier or using designated seating or areas. C.H. Robinson will make reasonable efforts to honor the request but cannot guarantee exclusion from incidental crowd or background images captured in public or common areas. An opt-out will apply prospectively and will not require withdrawal of materials created or published before the request was received.

Participants may not photograph, livestream, or make audio, video, screen, or automated transcriptions of event sessions, presentations, materials, or attendee discussions without prior written permission from C.H. Robinson and, where applicable, the affected speaker or participant. This restriction includes screenshots, screen recordings, and AI-enabled recording or transcription tools. C.H. Robinson may require deletion of unauthorized recordings and may take action under this Participation Policy.

C.H. Robinson may designate particular sessions or areas as recording-prohibited or subject to additional restrictions. Event staff will communicate those restrictions through signage, session notices, or other reasonable means.
